Receptionist – Front Office

  • Pay is determined on prior experience and job knowledge.

Job Summary: 

Answering phones, assisting with office operations, receiving and distributing communications, maintaining paperless filing system, serving customers and teams.

Responsibilities and Duties (including but not limited to):
  • Answer and route all incoming calls to appropriate departments and individuals with a professional demeanor that supports the BIS Mission, Vision and Values

  • Forwards information by receiving and distributing communications; collecting and mailing correspondence; document management

  • Serves our clients by answering calls, forwarding messages, confirming customer orders, keeping customers informed of order or job status

  • Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to workstations

  • Maintains paperless filing system by scanning, naming, and placement of electronic files into network folders

  • Updates job knowledge by participating in educational opportunities

  • Assist in client follow-ups, scheduling events, and other administrative tasks as needed

  • Maintain call logs and visitor logs

Qualifications and Skills: 
  • General Office Skills – call routing, meeting scheduling, verbal communication, written communication

  • Computer proficiency

  • Dependability

  • Attention to detail

  • Professional writing skills

  • Speaks fluent English (Spanish a plus)
