Job Summary: 

Assists in maintaining daily accounting and operations processes, supporting BIS clients and the Executive team. 

Responsibilities and Duties (including but not limited to):
  • Review the BIS accounting folder daily(email inbox), respond and disposition actionable items.   

  • Assist with accounts payable and accounts receivable, updating accounts accordingly. 

  • Help to check the mail(daily), handling documents, checks and invoices appropriately. 

  • Follow up with clients and vendors on the accounts receivable aging report(beyond 90 days escalate to COO). 

  • Perform research, reconcile all client and internal questions and requests for information. 

  • Help prepare management and executive reports on a daily, weekly and monthly basis. 

  • Help reconcile contracts with billing plans, and recurring audits. 

  • Participate in preparingsending and following up on annual budget letters. 

  • Help with the coordination and scheduling of corporate events. 

  • Help maintain paperless system by scanning, following a naming convention, and consistently placing files into their appropriate online folders. 

  • Maintain office supplies by checking inventory and ordering when necessary. 

  • Help maintain the office to ensure a positive work environment. 

  • Help to managetrack and resolve repair requests.  

  • Assist in the HR process helping with the completion of documents and the scheduling of onboarding/offboarding activities(checklists). 

  • Serve customers by following up on sales quotes, answering incoming calls; forwarding messages and ensuring clients are communicated with positively.  

  • Help document existing processes(for repeatability and growth). 

  • Ensure the BIS experience when dealing with clients and staff. 

  • Assist the Executive team with operational support and other work as assigned.  

  • Coordinate with management and recommend improvements. 

Qualifications and Skills: 
  • Accounting, payroll, or other financial experience(QuickBooks experience is a plus) 

  • Microsoft office experience (Excel, Word and PowerPoint etc.). 

  • The ability to update internal accounting databases and spreadsheets. 

  • Excellent verbal and written communication. 

  • Must be trustworthy and dependable. 

  • Must exercise discretion with personnel and financial information. 

  • Must exemplify an “attention to Detail” mentality. 

  • Must be a team player. 

  • The ability to respond professionally under stress or when dealing with clients.
